AAUW Seattle Privacy Policy

Policy Statement

Background: As part of its efforts to increase visibility in the community, and to make it easier for new and existing members to become engaged in branch activities, Seattle Branch undertook an effort to redesign its website in 2021.  The new website was designed to be more attractive and have better organization of information than our old website, and also to have better security and privacy protections.  This policy is the Privacy Policy for the new website, https://aauw-seattle.org/, which went ‘live’ in August 2021. This policy can be found on the website under the “ABOUT” item at top left, under the banner.

Goal: To document what information the Branch collects electronically and how that information may be used.

AAUW Seattle Privacy Policy:

Introduction
The American Association of University Women (AAUW), an organization advancing gender equity through research, education, and advocacy, is one of the nation’s leading voices promoting equity and education for women and girls and empowering them to reach their highest potential.

Information regarding the American Association of University Women (AAUW) can be found on our website at https://aauw.org/about.  Information about AAUW Seattle can be found at https://aauw-seattle.org.

This Privacy Policy was approved by the AAUW Seattle board on October 11, 2021.

To assist us in achieving the above goals, we collect and process certain information you provide to us. We work hard to be good stewards of your information. This Privacy Policy is meant to help you understand what information we collect, why we collect it, and how you can control how we update, manage, export, and delete your information.

What AAUW Seattle Collects and how
This privacy policy (“Policy”) describes how the personally identifiable information (“personal information” you may provide on the https://aauw-Seattle.org website (“Website” or “Service”) and any of its related products and services (collectively, “Services”) is collected, protected and used. It also describes the choices available to you regarding our use of your personal information and how you can access and update this information. This Policy is an agreement between you (“User”, “you” or “your”) and this Website operator (“Operator”, “we”, “us” or “our”). By accessing and using the Website and Services, you acknowledge that you have read, understood, and agree to be bound by the terms of this Policy. This Policy does not apply to the practices of companies that we do not own or control, or to individuals that we do not employ or manage.

Collection of information
We collect anonymous and aggregated web traffic log information for limited time periods.  IP address, time, date, pages accessed, files downloaded, operating system, and browser version are collected and stored in log files. These log files are automatically purged after 24 months.

We may process only minimal user data, only as much as it is absolutely necessary to maintain the Website and Services. Information collected automatically is used only to establish statistical information regarding the usage and traffic of the Website and Services and to prevent abuse. This statistical information is not otherwise aggregated in such a way that would identify any particular user of the system.

AAUW Seattle may collect data about your activities that does not personally or directly identify you when you visit our website. This information may include the content you view, the date and time that you view this content, or your location information associated with your IP address.

AAUW Seattle collects information that users provide when using online services including, but not limited to:

  • event registration including online and in-person conferences, webinars, and community events
  • subscriptions to and the download of digital communications including newsletters.
  • general questions, comments, and requests via “Contact Us”. We also may collect email addresses of those who communicate with us directly via email.

What AAUW Seattle does with the information we collect
AAUW Seattle processes your information to provide the products and services you request from us.  In order to make the Website and Services available to you we may need to collect and use certain personal information. If you do not provide the information that we request, we may not be able to provide you with the requested products or services. Any of the information we collect from you may be used for the following purposes:

  • send administrative information
  • respond to inquiries and offer support
  • improve user experience
  • protect from abuse and malicious users
  • run and operate the Website and Services

AAUW Seattle may share information with third parties including those in the following categories:

  • conference registration and event service providers, such as Eventbrite
  • payment processors (not currently operative)
  • bulk digital communications (email managers) and postal mail manager

You may be asked by specific AAUW Seattle vendors to consent to their processing of your information when such processing will be subject to their privacy policy. We encourage you to review such policies closely and be sure that you agree to them before providing your consent.

We do not share personal information with unaffiliated third parties. These service providers are not authorized to use or disclose your information except as necessary to perform services on our behalf or comply with legal requirements. We may share your personal information for these purposes only with third parties whose privacy policies are consistent with ours or who agree to abide by our policies with respect to personal information. These third parties are given personal information they need only in order to perform their designated functions, and we do not authorize them to use or disclose personal information for their own marketing or other purposes.

We will disclose any personal information we collect, use or receive if required or permitted by law, such as to comply with a subpoena, or similar legal process, and when we believe in good faith that disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud, or respond to a government request.

Retention of personal information
We will retain and use your personal information for the period necessary to directly fulfill your request or respond to your inquiry.

The rights of users
You may exercise certain rights regarding your information processed by us. In particular, you have the right to do the following: (i) you have the right to withdraw consent where you have previously given your consent to the processing of your information; (ii) you have the right to object to the processing of your information if the processing is carried out on a legal basis other than consent; (iii) you have the right to learn if information is being processed by us, obtain disclosure regarding certain aspects of the processing and obtain a copy of the information undergoing processing; (iv) you have the right to verify the accuracy of your information and ask for it to be updated or corrected; (v) you have the right, under certain circumstances, to restrict the processing of your information, in which case, we will not process your information for any purpose other than storing it; (vi) you have the right, under certain circumstances, to obtain the erasure of your personal information from us; (vii) you have the right to receive your information in a structured, commonly used and machine readable format and, if technically feasible, to have it transmitted to another controller without any hindrance. This provision is applicable provided that your information is processed by automated means and that the processing is based on your consent, on a contract which you are part of or on pre-contractual obligations thereof.

What are cookies and how does AAUW Seattle use them
A cookie is a small amount of data that is sent to your browser from a Web server and stored on your computer’s hard drive. Cookies enable AAUW Seattle to identify your browser as a unique user. Cookies may involve the transmission of information from AAUW Seattle to you and from you to AAUW Seattle. Cookies may also be used by another party on AAUW Seattle’s behalf to transfer information to us in accordance with their privacy policy. Some cookies are “persistent cookies” used each time you access AAUW Seattle’s website. Other cookies are “session cookies.” Session cookies are used only during a specific browsing session. AAUW Seattle may use a session cookie, for example, to remember that you have already navigated through a particular menu. We may also use “analytics cookies” that allow web analytics services to recognize your browser or device and, for example, identify whether you have visited our website before, what you have previously viewed or clicked on, and how you found us.

Google Tracking
We use Google Analytics’ 3rd-party audience data such as age, gender, and interests to better understanding the behavior of our members and visitors and work with companies that collect information about your online activities to provide advertising targeted to suit your interests and preferences. For example, you may see certain ads on other websites because we contract with Google and other similar companies to target our ads based on information we or they have collected, including information that was collected through automated means (such as cookies).

We may use cookies to collect, store, and track information for statistical purposes to operate the Website and Services. You have the ability to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. If you choose to decline cookies, you may not be able to fully experience the features of the Website and Services.

Because we use Google ads, Google Analytics, and may use Google remarketing to reach people who might be interested in AAUW Seattle programs and activities, the following information is applicable:

  • Third party vendors, including Google, use cookies to serve ads based on a user’s prior visits to your website or other websites.
  • Google’s use of advertising cookies enables it and its partners to serve ads to your users based on their visit to your sites and/or other sites on the Internet.
  • Users may opt out of personalized advertising by visiting Ads Settings. (Alternatively, you can direct users to opt out of a third-party vendor’s use of cookies for personalized advertising by visiting www.aboutads.info.)
  • AAUW Seattle may work with selected third parties to provide certain features on the Website such as social sharing functions. This privacy policy does not govern any information you choose to provide directly to such third parties. Such third parties have their own privacy policies that govern how they may collect, use, and disclose the information that you provide.

Pixel Tags
AAUW Seattle also employs a software technology known as a pixel tag. A pixel tag is a line of code placed on AAUW Seattle’s website or in emails which allows us to analyze advertising and the general usage patterns of visitors to our websites. Pixel tags help AAUW Seattle manage our website by informing us what content or promotions are effective. We do not collect personally identifiable information from you using pixel tags. You may not disable pixel tags.

Do Not Track signals
Some browsers incorporate a Do Not Track feature that signals to websites you visit that you do not want to have your online activity tracked. Tracking is not the same as using or collecting information in connection with a website. For these purposes, tracking refers to collecting personally identifiable information from consumers who use or visit a website or online service as they move across different websites over time. The Website and Services do not track its visitors over time and across third party websites. However, some third-party sites may keep track of your browsing activities when they serve you content, which enables them to tailor what they present to you.

Email marketing
We offer electronic newsletters to which you may voluntarily subscribe at any time. We are committed to keeping your e-mail address confidential and will not disclose your email address to any third parties except as allowed in the information use and processing section or for the purposes of utilizing a third-party provider to send such emails. We will maintain the information sent via e-mail in accordance with applicable laws and regulations.

In compliance with the CAN-SPAM Act, all e-mails sent from us will clearly state who the e-mail is from and provide clear information on how to contact the sender. You may choose to stop receiving our newsletter or marketing emails by following the unsubscribe instructions included in these emails or by contacting us.

Links to other resources
The Website and Services contain links to other resources that are not owned or controlled by us. Please be aware that we are not responsible for the privacy practices of such other resources or third parties. These other sites are maintained by third parties over which AAUW Seattle exercises no control. The appearance of any such third-party links is not intended to endorse any particular company or product.

We encourage you to be aware when you leave the Website and Services and to read the privacy statements of each and every resource that may collect Personal Information.

Information security
We secure information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use, or disclosure. We maintain reasonable administrative, technical, and physical safeguards in an effort to protect against unauthorized access, use, modification, and disclosure of personal information in its control and custody. However, no data transmission over the Internet or wireless network can be guaranteed. Therefore, while we strive to protect your personal information, you acknowledge that (i) there are security and privacy limitations of the Internet which are beyond our control; (ii) the security, integrity, and privacy of any and all information and data exchanged between you and the Website and Services cannot be guaranteed; and (iii) any such information and data may be viewed or tampered with in transit by a third party, despite best efforts.

Data breach
In the event we become aware that the security of the Website and Services has been compromised or users’ personal information has been disclosed to unrelated third parties as a result of external activity, including, but not limited to, security attacks or fraud, we reserve the right to take reasonably appropriate measures, including, but not limited to, investigation and reporting, as well as notification to and cooperation with law enforcement authorities. In the event of a data breach, we will make reasonable efforts to notify affected individuals if we believe that there is a reasonable risk of harm to the user as a result of the breach or if notice is otherwise required by law. When we do, we will post a notice on the Website, or send you an email if any email information has been retained.

Changes and amendments
We reserve the right to modify this Policy or its terms relating to the Website and Services from time to time in our discretion and will notify you of any material changes to the way in which we treat personal information. When we do, we will post a notification on the main page of the Website. We may also provide notice to you in other ways in our discretion, such as through contact information you have provided. Any updated version of this Policy will be effective immediately upon the posting of the revised Policy unless otherwise specified. Your continued use of the Website and Services after the effective date of the revised Policy (or such other act specified at that time) will constitute your consent to those changes. However, we will not, without your consent, use your personal information in a manner materially different than what was stated at the time your Personal Information was collected.

Acceptance of this policy
You acknowledge that you have read this Policy and agree to all its terms and conditions. By accessing and using the Website and Services you agree to be bound by this Policy. If you do not agree to abide by the terms of this Policy, you are not authorized to access or use the Website and Services.
